Tell the museum your proposed date, group size, age range and reason for visiting. Ask what advance booking is required and whether a guided session is available. School groups should check the museum's current written booking requirements directly.
Include access needs that participants have agreed you may share.
Confirm the complete arrangement
Ask about group limits, admission categories, payment method and arrival procedure. Find out whether the group needs to split for parts of the visit.
If teachers or organisers are responsible for supervision, make those roles clear before arriving. A guide's historical explanation doesn't replace the group's own supervision plan.
Prepare participants briefly
Send the meeting point, expected duration and museum rules. Give people a theme or question to think about rather than a long reading assignment.
Use the National Museum or another specific venue in the plan, and keep the museum's confirmation with the organiser. Arrive with the agreed headcount and tell staff promptly if it changes.
Rules, fees and opening hours change. Confirm anything that matters before you rely on it.
