Give each task one owner
Choose one person for the venue, one for transport and one for shared payments if the group needs all three. Keep the roles small and explicit. Two people independently negotiating the same booking can create conflicting promises.
For a small outing, one organiser and one backup may be enough.
Use one confirmed plan
Have each person send their confirmed details to the organiser before the final message goes out. Include the provider's name, arrival time and anything still unresolved. Don't mark an unanswered enquiry as booked.
Keep payment receipts separate from the public itinerary. Guests need the amount and deadline, not screenshots containing someone else's account information.
Let organisers join the day
Settle attendance and contributions before departure where possible. Assign a clear arrival contact so the booking organiser isn't handling every late guest while speaking to the venue.
Use a single outing plan as the version everyone follows. After the day, close any shared expenses and return borrowed items. The goal of assigning roles is to make less work during the outing, not create a committee for every decision.
